Coordinator - Position Description
Purpose: To coordinate the many elements of Simply Living’s annual fund-raising lunch, A Gift to Be Simple,
working closely with the GTBS Planning Committee and Executive Director, and Office staff
Event Date: October 18, 2012 Attendance Goal: 400
Sponsorship Goal: $10,000 Event Budget: $$6,500
Overall Fundraising Goal (Gross, including Sponsorships): $35,000
Key work areas:
1. GTBS Sponsorships/Business Memberships
• With Board/Staff liaison, invite area businesses to sponsor the event through Business Membership
• Coordinate and track Sponsor payment and participation
• Coordinate Sponsor Table seating and hosting
• Oversee Sponsor Display Area
2. Table Hosts
• Invite people to serve as table hosts
• Coordinate TH training in early August, and thereafter as needed
• Support TH in their efforts to invite guests, through ongoing interactions and weekly updates,
beginning in early September
3. Event logistics
• Serve as liaison between Simply Living and the River Club at Confluence Park
• Serve as liaison between Michael Jones (Local Matters), who sets the menu and the restaurant
representative and chef; arrange for food delivery, as necessary
• Volunteer recruitment and management for on-site needs – set-up, reception, decorations, nametags
and seating, signage, etc.
• Ensure Audio/Video needs are met
4. Program Planning
• With committee and staff guidance, print program booklet, signage and other materials
• With planning committee, develop flow and logistics for program elements
• Work with Ally Malley (or other designated person) to incorporate the children into the program
• Coordinate video production w/ Cheryl Johnson and GTBS Planning Committee
5. Post-event closure
• Following up w/ TH post-event to thank them and invite feedback
• Follow-up w/ TH, event sponsors, and volunteers, in coordination w/ GTBS Planning Committee
Terms of employment:
Beginning no later than 6/18/12; concluding by 11/12/12
Compensation: $10/hr. to be paid on the last business day of the month, contract employee basis
Budget: $3,000 (300 hours over ~22 weeks)
